ARHIVO™ eArchive – a secure electronic document archiving system, is a solution designed to meet all technical and procedural requirements for storing and protecting archival materials and documentation in electronic form.
The ARHIVO™ eArchive module, available within the DMS or as a standalone application, complies with the requirements outlined in the Regulation on unified technical and procedural requirements for storing and protecting archival materials and documentary materials in electronic form.
The Law on Archival Materials and Archival Activities mandates the permanent preservation of archival materials in electronic form, with specific documents required to be stored in a clearly defined manner. According to the Regulation, entities that create or hold archival materials must perform electronic archiving within a software solution—a reliable electronic storage information system.
The Law and Regulation stipulate the obligation to store documents electronically within a reliable program and specify the methods for storing and recording electronic documents. Each electronically created document must, to comply with legal regulations, be qualified with an electronic signature, timestamped, enriched with metadata as defined by the Regulation, and stored securely.
As part of the service encompassing the ARHIVO™ eArchive module, the first step prior to implementation involves consultation and clarification regarding the Regulation on unified technical and procedural requirements for electronic archiving. The next steps include the preparation of documentary materials for electronic archiving (classifying documentation, defining retention periods, specifying metadata according to the Regulation and additional metadata, defining the process and method for qualified electronic signing and timestamping, as well as determining the method for archiving and re-signing documentation).
ARHIVO™ eArchive includes the following functionalities:
- Storing electronically signed documentation in accordance with the Regulation, effective from January 1, 2024;
- Storing mandatory metadata as per Article 5 of the Regulation;
- Storing optional metadata;
- Document signing and timestamping;
- Verification of the authenticity of the original documentary material and verification of added metadata;
